Refund & Cancellation Policy
At Chicago Luxury Limo, we understand that travel plans can change unexpectedly. We have established this Refund & Cancellation Policy to be as flexible as possible for our clients while also protecting the time and schedules of our professional chauffeurs.
By booking with Chicago Luxury Limo, you agree to the following terms regarding cancellations, modifications, and refunds.
- General Cancellation Policy
The timeframe required for a penalty-free cancellation depends on the type of vehicle reserved:
- Standard Vehicles (Executive Sedans & SUVs):
Cancellations must be made at least 24 hours prior to the scheduled pickup time to receive a full refund of any prepaid amounts or deposits. Cancellations made less than 24 hours before the scheduled pickup time will result in a 100% charge of the base fare.
- Specialty Vehicles (Stretch Limousines, Sprinter Vans, & Ultra Luxury):
Due to the high demand and limited availability of our specialty fleet, cancellations must be made at least 7 days (168 hours) prior to the scheduled pickup time to receive a refund. Any deposit made for specialty vehicles is strictly non-refundable if canceled within 7 days of the event.
- Airport Transfers (O’Hare & Midway)
We actively monitor commercial flights for all airport pickups.
- Flight Delays: You will not be penalized or charged extra for flight delays, as our dispatch team tracks your flight status in real-time.
- Flight Cancellations: If your flight is canceled by the airline, you must notify us immediately by phone at +1-708-598-2677. Provided you contact us before the chauffeur is dispatched to the airport, your reservation can be fully refunded or kept as a credit for a future date.
- Missed Flights/Connections: If you miss your flight or make a change to your itinerary without notifying us at least 4 hours before the scheduled arrival, the full fare will be charged.
- No-Show Policy
A “No-Show” is defined as a passenger failing to be at the designated pickup location without notifying our dispatch team.
- Airport Pickups: Our chauffeurs offer a complimentary grace period (typically 45 minutes for domestic and 60 minutes for international arrivals). If the passenger does not make contact with the driver or dispatch office after the grace period expires, the driver will be dismissed, and the reservation will be billed in full (100% of the fare, plus any accrued wait time, parking, and standard gratuity).
- Non-Airport Pickups: For standard point-to-point or hourly service, the chauffeur will wait 15 minutes past the scheduled pickup time. If no contact is made, it is considered a No-Show, and the full fare will be charged.
- Hourly & Charter Services
For hourly chauffeur services or special event charters (weddings, proms, corporate events), a non-refundable deposit (typically 30%) is required at the time of booking. The remaining balance will be charged in full if the reservation is canceled less than 7 days prior to the event date.
- Vehicle Damage and Cleaning Fees
Refunds will not be issued if service is terminated early by the chauffeur due to unruly passenger conduct, illegal activities, or severe damage to the vehicle. Additionally, if a passenger soils the vehicle (e.g., sickness, excessive spills), a minimum detailing fee of $250 will be charged to the credit card on file, separate from the cost of the ride.
- Refund Processing Time
If you are eligible for a refund based on the terms above, the funds will be issued back to the original method of payment. Please allow 5 to 7 business days for the refund to process and reflect on your bank or credit card statement, depending on your financial institution.
- How to Cancel or Modify a Reservation
To ensure your cancellation or modification is processed correctly and on time, please contact us directly. Email cancellations are only valid once you receive a confirmation reply from our team.
